Financial Accounts Manager

About the Role

Glamz Kadak Tea is looking for a capable and detail-focused Financial Accounts Manager to manage the company’s financial accounts, reporting, cash flow and financial controls. Reporting directly to the Director, you will support the financial performance of our online sales and wholesale supply to Asian grocery stores, independent retailers and other business customers.

You will be responsible for maintaining accurate financial information, managing customer and supplier accounts, monitoring expenditure and cash flow, and providing clear financial analysis to support commercial decision-making.

Key Responsibilities

Financial Accounts & Management Reporting

• Manage the sales ledger, purchase ledger, general ledger and month-end accounting process, ensuring transactions are accurately recorded and supported.
• Prepare monthly management accounts, including profit and loss statements, balance sheet information and cash-flow reports, with explanations of significant movements.
• Review bank, supplier and customer account reconciliations and investigate discrepancies.
• Maintain accruals, prepayments and other accounting adjustments, working with the external accountant where required.
• Provide the Director with clear reports on revenue, operating expenditure, profitability and the business’s financial position.

Wholesale Customer Accounts & Credit Control

• Establish and maintain financial account records for wholesale customers, including payment terms, credit limits and outstanding balances.
• Assess customer credit risk and recommend appropriate credit terms and limits for the Director’s approval.
• Oversee invoicing, credit notes and allocation of customer payments against outstanding invoices.
• Monitor aged receivables, follow up overdue balances and agree repayment arrangements within delegated authority.
• Resolve billing discrepancies and payment disputes, and recommend action on persistent late payments, disputed debts and potential bad-debt provisions.

Cash Flow & Working Capital

• Prepare and update cash-flow forecasts covering customer receipts, supplier payments, stock purchases, wages and other operating commitments.
• Identify potential cash shortages and recommend measures to maintain sufficient working capital.
• Plan supplier payment schedules in accordance with agreed terms and the Director’s approval procedures.
• Assess the financial impact of customer credit terms and additional stock requirements as wholesale sales develop.

Product Costing & Profitability

• Analyse the cost and profitability of tea products across different flavours, pack sizes and sales channels.
• Consider purchase costs, packaging, delivery charges, payment processing fees, discounts and other attributable expenses.
• Review wholesale customer profitability and advise the Director on the financial effect of proposed prices, discounts and payment terms.
• Reconcile online sales receipts with payment settlements, refunds and applicable transaction charges.
• Work with stock and fulfilment staff to reconcile inventory with financial records and assess stock valuation.
• Identify the financial impact of damaged, expired or slow-moving stock and recommend appropriate provisions or corrective action.

Budgets & Financial Planning

• Prepare operating budgets and financial forecasts for the Director’s review.
• Compare actual results against budgets, investigate variances and recommend corrective measures.
• Evaluate the financial implications of proposed expenditure, additional product lines and expansion of wholesale distribution.
• Monitor expenditure against approved budgets and highlight opportunities to improve financial efficiency.

Financial Controls & Compliance

• Maintain effective controls over invoicing, refunds, expenditure approvals, supplier payments and access to financial information.
• Check supplier invoices against purchase records and delivery information before recommending payment.
• Maintain organised accounting records and provide information required by the external accountant for statutory accounts and tax returns.
• Coordinate VAT and payroll information, where applicable, and monitor relevant financial reporting deadlines.
• Identify accounting errors, unusual transactions and weaknesses in financial procedures, reporting material concerns to the Director.

Working Relationships & Authority

The Financial Accounts Manager will report directly to the Director and work with staff responsible for online sales, stock and order fulfilment, as well as the external accountant. The postholder will manage financial processes within delegated authority. Significant expenditure, changes to customer credit limits and other commitments outside that authority will require Director approval.

About You

• Relevant qualification in accounting, finance or a related discipline, or equivalent practical experience.
• Experience preparing management accounts, managing customer and supplier accounts, and undertaking credit control.
• Ability to prepare budgets, cash-flow forecasts and product profitability analysis.
• Competence in accounting software and spreadsheets.
• Understanding of UK accounting requirements and VAT treatment relevant to the business’s transactions.
• Strong analytical skills, accuracy and the ability to explain financial information clearly.
• Ability to manage deadlines, resolve account discrepancies and handle confidential information responsibly.
• Experience in wholesale, retail, e-commerce or consumer goods would be advantageous.
